Overview
Due to our unique location and the exclusive nature of our facilities, Arctic Mirage maintains a specific cancellation policy to ensure fair reservation management. We understand that plans can change, and we have designed our cancellation policy to provide both flexibility for our guests and operational stability for our resort.
Cancellation Timeline & Refund Process
60+ Days Before Arrival
Full refund minus a 5% administrative fee.
Refund processed within 7-10 business days.
30-59 Days Before Arrival
75% refund of the total reservation amount.
Refund processed within 7-10 business days.
15-29 Days Before Arrival
50% refund of the total reservation amount.
Refund processed within 10-14 business days.
7-14 Days Before Arrival
25% refund of the total reservation amount.
Refund processed within 14-21 business days.
Less than 7 Days Before Arrival
No refund available.
Credit for a future stay may be issued at management's discretion.
How to Request a Cancellation
All cancellation requests must be submitted in writing via one of the following methods:
- Email to [email protected]
- Through your online Arctic Mirage account
- By submitting a cancellation form on our website
Please include your reservation confirmation number, name, and dates of stay in all communications. Cancellations are only considered valid once you receive a cancellation confirmation from our Reservations team.
Special Circumstances
Weather Conditions
Due to our remote Arctic location, severe weather conditions may occasionally affect travel. In cases where:
- All major transportation services to our location are canceled due to extreme weather
- Iceland's Civil Protection Department issues a travel advisory specifically affecting our area
We may offer rescheduling without penalties or provide full refunds regardless of the cancellation timeline. Weather-related cancellations are assessed on a case-by-case basis.
Medical Emergencies
In case of serious medical emergencies preventing travel, we may waive or reduce cancellation fees. Documentation from a licensed medical professional will be required.
Force Majeure
In the event of force majeure circumstances beyond our control (natural disasters, governmental actions, etc.), our standard cancellation policy may be adjusted appropriately.
Modifications to Reservations
Changes to existing reservations are subject to availability and the following conditions:
- Date Changes: Requests to change dates within the same calendar year may be accommodated without penalties, subject to availability.
- Length of Stay: Reducing the length of stay is subject to the cancellation policy for the nights canceled.
- Room Upgrades/Downgrades: Subject to availability and rate differences.
All modification requests should be submitted as early as possible to increase the likelihood of accommodation.
Group Reservations
Reservations for 5 or more rooms are considered group bookings and are subject to a separate cancellation policy detailed in the group booking contract. Please contact our group sales department for more information.
No-Shows
Guests who fail to arrive on their scheduled check-in date without prior notification will be classified as "no-shows" and will be charged the full amount of their reservation. No refunds will be issued for no-show reservations.
Early Departure
Guests who check out prior to their scheduled departure date will be charged for the entire original reservation. Exceptions may be made for medical emergencies with proper documentation.
